How do large trucking fleets handle certificates of insurance?

By issuing routine certificates themselves and sending only the unusual ones to their agent. A fleet hauling for many shippers and brokers needs certificates constantly, so the practical setup is a client portal where dispatch adds a certificate holder and issues the certificate on the spot, with contract terms such as additional insured status, waivers of subrogation and specific limits endorsed onto the policies in advance so the certificate is true when it prints.

The detail

  • The ACORD 25 certificate of liability insurance states that it is issued as a matter of information only, confers no rights upon the certificate holder, and does not amend, extend or alter the coverage afforded by the policies it lists.

  • A lease of equipment to an authorized motor carrier must give the carrier exclusive possession, control and use of the equipment for the duration of the lease, and the carrier must assume complete responsibility for its operation.

What this means for you

  • A certificate cannot add coverage. If a contract requires additional insured status or a waiver of subrogation, the policy needs the endorsement first. A certificate that claims it without one is a problem waiting for a claim.
  • Endorse once, issue often. Blanket additional insured and waiver endorsements, where the contracts call for them, let routine certificates issue without a policy change each time.
  • Match the holder’s wording exactly. Broker onboarding platforms reject certificates whose names, limits or units do not match what they expect.
  • Schedule changes are not certificates. A truck or driver added for a shipper goes through your agent so the policy, the filing and the certificate all agree.

Can our dispatchers issue certificates at 5am?

Routine ones, yes. Trucking clients can be set up to issue their own certificates from our client portal at any hour. Requests that need new endorsement wording, an additional insured not already covered, or a unit added to the schedule come to our service team through the certificate request form.

Request a certificate
A shipper contract asks for primary and noncontributory. What does that mean?

It means your policy pays before the shipper’s own insurance and does not ask the shipper’s insurance to share the loss. It has to be granted by endorsement on your policy, usually alongside additional insured status. Send the contract’s insurance section to your agent before signing, so the endorsement exists when the certificate says it does.

Why do broker platforms reject our certificates?

Usually because something on the certificate does not match their record: the legal name, the authority numbers, a limit below their requirement, or a certificate sent by the carrier rather than the agent. Fix the mismatch at the source rather than reissuing until one passes.

Need this handled?

Reading about it and having it handled are different jobs, and the second one is ours. We place the accounts other brokers decline — claims history, a cancellation, an unusual operation, a business nobody wants to underwrite twice — and we will tell you when the policy you already have is the right one. Tell us the situation and a licensed human replies the same business day.
